In 2017/2018 Scotland Food & Drink were undergoing organisational change as they expanded and developed.
A challenge they faced was to manage the data that they owned and how it was shared amongst the organisation to maximise its potential.
Data such as industry contacts, existing members, potential members and media contacts were stored in various places and didn’t provide a comprehensive data base that could be utilised and reported on.
Workflows and systems were also varied and this meant cross team working and transparency was being compromised.
Following an audit of all data and a requirements gathering from all areas of the organisation we began to customise a CRM system to allow for all contact data to be transparently stored and reported on.
Processed were also designed to ensure an efficient and effective workflow in to the system and to improve relations between the teams.
The new data protection legislation was also due to come out in May 2018 and so we ensured that the system and processes were compliant and that a full data audit was logged and relevant documentation created (privacy statements, subject access requests, privacy by design etc).
We provided full training on the new system, processes and on GDPR.
The new system is now being used by all departments, reporting has been maximised, transparency has been achieved, compliance attained and cross team working improved.
